Closed-Loop IT Asset Disposal Process

Project Background

With the rapid development of the client’s business, office expansion and data center upgrades were carried out simultaneously, creating a need for centralized retirement and unified disposal of existing IT equipment.

The client hoped to systematically process a batch of equipment through professional services, meeting asset management requirements after relocation and upgrades while also supporting the subsequent optimization of office and data center resources.


Client Pain Points

The client’s requirement was not simply to “sell scrap materials,” but to truly achieve a full closed-loop process for IT asset disposal.

On the one hand, the equipment volume was large, the types were complex, and the distribution scenarios were diverse, making it difficult for traditional recycling methods to meet high efficiency and high standardization requirements. On the other hand, the equipment involved a large amount of business data and internal information, and the client had high standards for data security, process standardization, clear responsibilities, and traceable results.

Therefore, the client was more concerned with an integrated solution that balanced security, compliance, efficiency, and value recovery.


Solution

In response to the client’s needs, we provided full-process services covering on-site execution, data security processing, equipment classification and disposal, and recycling settlement, ensuring that the IT asset retirement process was standardized, orderly, and traceable.

On-Site Zoning and Numbering

After arriving on site, the team first carried out on-site zoning, unified numbering, and photo recording for all equipment to be processed, establishing equipment ledgers item by item to ensure accurate and complete asset information and provide a basis for subsequent circulation and verification.

Data Security Processing

For storage media and data-bearing devices, multiple secure processing methods were supported, including on-site hard drive removal, physical degaussing, and data erasure. Formal data destruction reports were issued to effectively reduce the risk of data leakage and meet enterprise information security management requirements.

Equipment Classification and Loading

Based on the actual condition of the equipment, assets were classified into categories such as “reusable,” “repairable,” “parts recoverable,” and “fully scrapped.” Loading and circulation management were then carried out separately, maximizing asset value while ensuring compliant disposal.

On-Site Confirmation and Voucher-Based Settlement

Equipment quantity, model, condition, and pricing information were confirmed item by item on site. After confirmation and signatures by both parties, formal recycling vouchers were generated to ensure clear handover, defined responsibilities, and a transparent process.
